C&J Weddings And PartyHire Ltd Terms & Conditions
These Terms & Conditions, together with the confirmation of booking email, constitute a binding contract. No changes or alterations can be made unless agreed in writing by C&J Wedding & Party Hire Ltd prior to the date of the Event. For simplicity, the following terms have these meanings Client – The person hiring equipment from C&J Wedding & Party Hire Ltd Venue – The location of the Event Booking/Contract – The hiring of C&J Wedding & Party Hire Ltd by the Client, in accordance with the Contract. Event – the actual party, wedding, or other function, for which the Client has booked C&J Wedding & Party Hire Ltd.
1. Booking Details 1.1) No Booking is confirmed until a deposit has been paid and C&J Wedding & Party Hire Ltd have confirmed with the client that payment has been received (Please refer to your booking Invoice for deposit value). Please note that all deposits are non-refundable and non-transferable.
1.2) If the deposit has not been received within 14 days of initial enquiry the Client must reconfirm that the requested date is still available and the full balance has not changed.
1.3) C&J Wedding & Party Hire Ltd will require adequate time for the installation and dismantling of the equipment. This amount of time will depend on the type of event and equipment required. Access space must also be adequate. If the Client or Venue has special requirements for setting up/disassembly times or times of access, the Client must provide these details to C&J Wedding & Party Hire Ltd prior to the booking, or additional charges may be applicable. Wherever possible, C&J Wedding & Party Hire Ltd will visit the Venue prior to quoting in order to estimate the time/work/equipment required. Should this not be possible, or if the distance, opening hours of venue or other matters prohibit this, then C&J Wedding & Party Hire Ltd must rely on information given by the Client when providing a Quotation. Parking/Toll and travel charges will be charged as applicable.
1.4) The Client offer assurances that no previous bookings exist with other Clients/Companies that would affect the booking.
1.5) If the Client appoints another company after signing of their contract which results in the cancellation of the booking, cancellation costs in Paragraph 3 will be applicable.
1.6) If C&J Wedding & Party Hire Ltd have another booking that results in the cancellation of the contract, a full refund will be given. However, C&J Wedding & Party Hire Ltd warrants that it will attend any booked event, during busy periods some work may be sub-contracted, but only to known, experienced companies with proven credentials. C&J Wedding & Party Hire Ltd maintains a list of approved ‘partners’ for this express purpose and operates a reciprocal agreement with such approved suppliers. The cost of hiring in any other company in these circumstances will be borne by C&J Wedding & Party Hire Ltd.
2. Payments
2.1) Deposits can be paid in Cash, by Bacs or by secure online payment. Payment of any outstanding balance must be paid 2 months before the event starts.
2.2) If the DJ is required to play past the agreed time, the fee for such overtime is £50 per hour, this would be payable in cash, at the time. This is subject to the conditions of the Venue and is at the DJ’s discretion.
2.3) Payment due dates are confirmed on booking confirmation sheet (this includes deposits and balance due). Upon signing your contract, you the client are agreeing to any payment dates set out within. Failure to make payments will be considered a breach of contract and will result in an additional charge of £10 per day or cancellation to your booking. This will be at the discretion of C&J Wedding & Party Hire Ltd.
3. Cancellations and Postponements
3.1) In the event of the client wishing to cancel or postpone the event for any reasons, the deposit will be retained by C&J Wedding & Party Hire Ltd. The Client must notify the C&J Wedding & Party Hire Ltd as soon as possible, cancellation terms will be applicable.
3.2) In the event of a cancellation or postponement, C&J Wedding & Party Hire Ltd require as much notice as possible. Cancellation or postponement within 6 months of your event will result in a 100% fee.
3.3) Final Numbers are required 3 months prior to your event, at this point items can be added (providing availability) but at the value of the balance cant not be reduces from the figure agreed at the 6 months point
3.4) C&J Wedding & Party Hire Ltd may agree to alter the date of the booking, subject to the company being available on the replacement date, however please note that initial deposits will be retained. This is at the digression of C&J Wedding & Party Hire Ltd.
4. Conduct and Security
4.1) The client will ensure that the audience and anyone, other than the C& J Wedding & Party Hire’s team, conduct themselves in a proper manner. C&J Wedding & Party Hire Ltd will not be held responsible for damage, under any circumstances, caused by those attending the event.
4.2) C&J Weddings & Party Hire’s team will conduct themselves in a proper manner throughout their attendance at the venue. The team member will comply, unless in breach of any laws or venue requirements/restrictions, as to volume, positioning of equipment, and any other reasonable requests. If you require us to adhere to any specific dress code please advise at the time of booking. We will happily oblige wherever possible.
4.3) Often, C&J Wedding & Party Hire Ltd will take photographs or video footage of events, to be used in promotional materials. If you, the Client, object to this, please notify the Company before the date of the event. Copies of photographs and videos, if possible, may be obtainable from the Company – please ask for details.
4.4) The client will be held responsible for any theft or damages caused by the hirer or their guest to any equipment belonging to the company for the length of the agreed hire or collection and back in care of the company. (other than members of the company’s team)
4.5) It is solely the responsibility of the client to ensure the venue has sufficient and legal security for any hired equipment.
4.6) C&J Wedding & Party Hire Ltd operates a zero-tolerance policy regarding abuse of its staff, whether verbal or physical, actual or implied. The Client is responsible for the behaviour of his/her guests at all times and is responsible for providing any security necessary to police such behaviour. In the event of any actual or threatened abuse, the staff member may stop any performance or services, and request that the matter is dealt with. If the problem is not dealt with in that time, the staff member has the right to refuse to continue and may pack up and go. In such circumstances the full fee is still payable, and any damages or loss will be reclaimed from the Client. Any illegal behaviour will be reported to the police.
4.7) C&J Wedding & Party Hire Ltd operates a zerotolerance policy towards drugs, under-age drinking or other illicit behaviour, and will not be a party to such behaviour.
5. Health & Safety
5.1) It is solely the responsibility of the client to ensure the venue complies with Health & Safety, and holds all necessary certification, Public Performance Licences etc.
5.2) C&J Wedding & Party Hire Ltd will ensure their equipment fully complies with all the relevant Health & Safety legislation regarding the equipment & personnel.
5.3) C&J Wedding & Party Hire Ltd shall be covered by adequate Public Liability Insurance.
5.4) The Client is responsible for ensuring that the venue can provide a safe and practical area in which C&J Wedding & Party Hire Ltd can set up and operate its equipment. Two 13amp sockets are required, preferably separate, and on an unloaded circuit. For most venues, this is adequate; however, for very large venues different requirements may be necessary.
5.5) If the Staff member deems that the venue is unsafe, C&J Wedding & Party Hire Ltd reserves the right to refuse to set up, and in this case the full fee would still be payable as C&J Wedding & Party Hire Ltd has turned up, but is prevented from working by Health & Safety Issues, which are the Client's responsibility.
5.6) A suitable parking area must be available for the loading and unloading of C&J Wedding & Party Hire Ltd equipment at the venue. Likewise, there must be adequate access to the venue.
5.7) C&J Wedding & Party Hire Ltd may use Haze to enhance the atmosphere. All the Haze Fluid used, is designed for the Haze machine operation, this fluid is made of glycerine and is both safe and non toxic. C&J Wedding & Party Hire Ltd will confirm with venue before use.
5.8) C&J Wedding & Party Hire Ltd may use strobe lights. It is the responsibility of the Client to alert guests and C&J Wedding & Party Hire Ltd if there is an issue with this.
